AI File Summarizer - User Guide


The AI File Summarizer lets you upload any audio or video file and automatically generate an accurate transcript and summary within minutes.

Below is the complete walkthrough of every option on the page and how the feature works from start to finish.


  • Log in to GravityWrite.
  • From the left-side menu, click AI File Summarizer.


Uploading Your File


  • Click “Click to upload your file”
  • Select your audio/video file.


File Requirements:


Max File Size: 2 GB


Free Users:

  • Only 1 file upload allowed
  • File duration must be under 10 minutes


Premium Users:

  • Unlimited uploads
  • Maximum limit for File duration can be under 5 hours


Selecting the Audio Language


  • The Audio Language dropdown is set to Auto Detect by default.
  • The system automatically identifies the spoken language of the uploaded file.
  • If you want to select it manually, choose the language from the dropdown. (must be the language of input file)


Choosing a Summary Template


The Select Template dropdown controls what type of summary the AI will generate. (like, how the summary should be structured)


Available templates:


  • Key Highlights & Summary
  • Team Meeting
  • Project Update
  • Sales–Discovery
  • Interview Summary


When you select a template: You can see a non-editable Instructions box, showing the prompt details the AI will follow for generating summary. These instructions define the style and structure of the summary.


Manage Template (Creating Your Own Template)


If the existing templates don’t fit your workflow:


  1. Click Manage Template (a popup opens)
  2. Click Add New Template
  3. Fill in -> Template Name & Prompt
  4. Click Save Template


Inside Manage Template, you will see all templates you have created:


  • Edit - Modify the template name, prompt, or toggle Set as default
  • Delete - Remove the template (with a confirmation popup)


If a template is set as default, it will get auto-select inside “Select Template” every time you open the AI File Summarizer.


Advanced Options


Here you choose the output language for the final summary.


  • Whatever language you select here is the language the summary will be generated in.
  • This is independent of the audio language.


Example: Audio in English → Summary in French (if chosen).


Start Processing


Click Transcribe & Summarize. The system first transcribe then summarize. So, now you can see two tabs:


Transcript


  • Converts your audio/video into text. Full conversation exactly as spoken.
  • Transcript is always generated in the original spoken language.
  • You can see Speaker-wise text. Speaker labels appear as Speaker 1, Speaker 2, etc.


Output


  • AI generates the summary in the Advanced Options language (if selected), otherwise in the language as per GW's settings.
  • Summary follows the selected template style and instructions.
  • Output tab shows: Template and Prompt user chose and the Generated Summary.
  • Below summary user have more options: Copy as Text button, Copy as Markdown button, Start New Summary (starts a fresh summary generation)


At the top of this tab, you will also see:


  • Credits consumed for this summary generation.
  • Favourite (★) icon to mark this output.
  • Export button: Copy Transcript, Export Summary as TXT, Export Summary as DOC, Export Summary as PDF.
  • Three Dots button : Delete Summary → removes only the summary. Delete Project → removes the entire project (file, transcript, summary, templates used, and everything)


History


On the AI File Summarizer main page, click History to view all your past generations. The history list displays:


  • File name
  • Processing status (Uploading / Transcribing / Completed)
  • Favourite option
  • Delete option
  • View -> Opens that project again


You can generate multiple summaries simultaneously; the history page helps track each one’s progress in real time.
